APS – June 2020 Updates

Please read below for important updates on a variety of topics, including recent edits to the faculty offer letter templates, newly published guidance on faculty early start periods and retirement, and a change to the posting waiver request process.

Promotion Updates In Workday

Academic Personnel Services has completed the following Workday business processes, effective 09/01/2020, for faculty who received promotions during the 2019-20 cycle.
  • Edit Position: places promoted faculty members into a new job profile and updates their job and business titles.
  • Request Compensation Change: increases the academic rate for promoted faculty members.
This population also requires Academic Appointment updates in Workday to reflect their promotions; APS will complete processing of these prior to the end of summer 2020.

New Early Start and Retirement Guidance

APS has created two new documents to help provide clarity on the topics of faculty early start periods and retirement:
  • Faculty Early Start Guidance includes considerations CSUs should take into account when deciding which of three options to use when hiring tenure and tenure-track faculty for an early start (hire via PAR, contract as contingent worker, or appoint as academic affiliate).
  • Faculty Retirement Guidance includes policy overviews and processing instructions for phased retirement, modified service, and emeritus nominations.
Both documents are linked on the APS website.

Offer Letter Template Updates

APS has published the following updates to the offer letter templates found on the faculty affairs website:
  • in all offer letters, updated provost name and title in the carbon copy field;
  • in the non-tenure track offer letters, edited the language on course-instructor survey participation to show as “required” instead of “expected;”
  • in the tenure and tenure-track offer letters, added language requiring course-instructor survey participation; and
  • in the tenure and tenure-track offer letters, changed the contingency for appointment during the faculty orientation period from “being in residence” to “being available for work at the start of the fall semester” to account for new digital and online course delivery options.
Please begin using updated templates immediately.

New Applicant Screening Questions

Faculty candidates applying for positions in Interfolio are now required to answer a series of screening questions. To capture this information when a posting waiver is requested, we have addded these questions to the Posting Exemption Request Form. They must completed by the candidate and submitted with the posting exemption request.

Faculty Affairs Updates and Fall 2020 Flexible Teaching Arrangements

On Tuesday, June 9, Senior Vice Provost for Faculty Affairs Tasha Beretvas sent an email to faculty covering a number of topics (view the full email here).
The update included links for faculty to request accomodations or flexible arrangments if they wish to dispute the teaching modality of their fall 2020 course(s).
Faculty members do not need to fill out these forms if they agree with the mode of delivery of their fall 2020 course(s).
