Honorlock Guidance and Policies
The Office of Academic Technology (OAT) facilitates the use of remote proctoring for College, Schools, or Units (CSUs) on campus through a bill-back process. This document outlines important guidance and policies related to the use of Honorlock.
Honorlock Fees
Honorlock charges a per student per semester fee for an unlimited number of exams. CSUās must opt-in and approve the use of Honorlock by any instructors in their units. To learn more about setting up Honorlock in your CSU, contact the OAT at oat@utexas.edu.Ā
Honorlock Retention Policy
- Honorlock retains all remote exam proctoring recordings for one year from the recording date.
- Instructors who identify a flag for potential academic misconduct are responsible for independently downloading and retaining any relevant recordings in a University-supported Cloud Storage Service approved for Controlled (FERPA) data, such as UT Box.
- Instructions for downloading recordings from Honorlock are available on the Academic Technology@UT site. We recommend using a consistent naming convention for your files such as YYMMDD-UNIQUENO-STUDENTUTEID (240511-60021-ZZ15151).
Retention Requirements in Cases of Potential Academic Misconduct
In accordance with the Institutional Rules and as outlined by Student Conduct and Academic Integrity (āStudent Conductā), instructors must follow the Resolving Academic Misconduct procedures to resolve issues of alleged academic misconduct. Specifically, instructors may not lower student grades, restrict students from submitting assignments, or prevent students from attending classes, either independently or while engaged in the Faculty Disposition or Referral process. Instructors must engage in the academic misconduct resolution process within 30 days of becoming aware of the potential academic misconduct. Instructors are responsible for sharing any relevant Honorlock recordings with Student Conduct as part of the resolution process.
Allegations of misconduct received by Student Conduct will result in the creation of a disciplinary record that is maintained by Student Conduct for seven years, except those that result in a sanction of suspension, expulsion, degree rescission, or permanent bar from admission or enrollment, which are maintained permanently. The disciplinary record of a student found ānot responsibleā for a violation of the Institutional Rules will be created and maintained by Student Conduct for seven years but will not be reportable. The disciplinary record will reflect the nature of the charge, the sanction assessed (if any), and any other pertinent information (including Honorlock recordings submitted as evidence of misconduct).
