Fall 2020 NTT Faculty Mass Transaction Process

Dear Colleagues,
The Fall 2020 Non-Tenure Track Faculty Mass Transaction Process is now open. The mass transaction covers the renew, inactivate, and reactivate Workday processes for NTT faculty. Please review the instructions found on the process overview webpage in the link above to prepare spreadsheet submissions by the deadline of Friday, August 7, 2020, at 5:00 p.m. Key dates for the fall 2020 mass transaction cycle are as follows:
Monday, July 20, 2020 – Reporting Opens
The NTT Faculty Renew/Inactivate (RPT0240) and Reactivate (RPT0813) reports are available in Workday. CSUs may download these as spreadsheets and begin populating required data.

Friday, August 7, 2020, 5:00 p.m. – Submission Deadline
Deadline for CSUs to submit spreadsheets to APS via Box folder upload (see below for CSU specific Box links).

This is a firm deadline. Any spreadsheets submitted after 5:00 p.m. on this date will not be processed centrally and will need to be managed individually by CSUs.
August 10-11, 2020 – Inactive Faculty Privileges Load
The eBITS team will load Job Classification Privileges (Fully Privileged and Network Access) for all faculty submitted for reactivation into their current F-INA job profiles via EIB with an effective date of 8/12/20. This will grant inactive faculty members digital and library access prior to the 9/1/20 effective date of their reactivations.

August 24-28, 2020 – Renew, Inactivate, and Reactivate Load
The eBITS team will load data from the renew/inactivate and reactivate spreadsheets into Workday.

APS has created designated Box folders, linked below, for dean’s office contacts within each CSU to upload their spreadsheets (only dean’s office contacts will have access to these folders). As a reminder, only one renew/inactivate and one reactivate spreadsheet per CSU may be submitted to APS (departmentalized colleges will need to consolidate their individual department spreadsheets prior to uploading them to Box).

Please note the following changes to the NTT Mass Transaction Process introduced during the fall 2020 cycle:

  • Each spreadsheet submitted by a CSU must contain a minimum of 10 records in order to be included in the mass process.
  • CSUs that meet the minimum number of entries per renewal/inactivate and reactivate spreadsheet should participate in the EIB. Only initiate standalone BPs in Workday for those transactions that fall outside the scope of the mass process.
  • Renewals will only be processed for faculty who do not need a change to their current scheduled weekly hours.
  • Changes to the contract type for renewals can be loaded by the EIB but only if the previous contract is ending prior t0 9/1/2020. CSUs must include a justification in the remarks column of the spreadsheet if the contract type is changing.
  • If changes to scheduled weekly hours or compensation are needed with renewal, the CSU must process individual Change Job transactions on an ad hoc basis. These faculty members should not be included in the EIB spreadsheets.
