APS Updates – October 2021

UPDATES TO OFFER LETTER TEMPLATES

The faculty offer letter templates found on the APS website are now updated to include the following revisions and additions:

  • Title IX reporting requirements as established by the recent passage of Senate Bill 212.
  • Information about the Texas Public Information Act and the nature of open records at the University.
  • Legal clause for faculty agreements.
  • Campus Open Status replaced by a link to Protect Texas Together in the location contingency requirement.

 Please ensure you are using the newest version of the templates moving forward. 

INFORMATION FOR HIRING RESEARCH FACULTY

OFFICIAL UT AUSTIN APPLICANT SOURCE FORM IN INTERFOLIO

In a separate communication to deans’ office contacts in mid-September, APS announced the Official UT Austin Applicant Source Form, a new required applicant form in Interfolio.

This form will help better identify where applicants for faculty positions are locating job postings (the source) and will provide new avenues for reporting on applicant source information across a wide array of parameters.

As of September 14, 2021, all applicants for searches conducted through Interfolio at the University are required to complete the form. The expectation is that all source data for Interfolio searches will be collected via this form. CSUs currently using a similar form should disable it in favor of the campus-wide form.

CSU administrators should review all active postings in Interfolio to ensure the Applicant Source Form is enabled. Moving forward, please make sure the form is always included when creating new postings.

As a reminder, when an Interfolio posting meets the criteria to be published on the UT Austin Faculty Careers website, the posting is also automatically published to the following job boards:

APPLICANT SCREENING QUESTIONS IN INTERFOLIO

The Applicant Screening Questions are required for all faculty postings in Interfolio. Postings that were in existence prior to rollout in summer 2020, and postings that have been created by copying a previously existing posting that did not include the form, do not automatically include these questions.

CSU administrators should review all active postings in Interfolio to ensure the Applicant Screening Questions form is enabled. Moving forward, please make sure the form is always included when creating new postings.

APPLICANT SCREENING QUESTIONS OUTSIDE OF INTERFOLIO

The Posting Exemption Request Form also includes the Applicant Screening Questions. However, there are certain situations whereby a faculty hire is not applying in Interfolio and the CSU is not requesting a posting waiver (this most typically happens for 0% Non-Tenure Track hires). In these cases, the required applicant screening information was not being captured.

As a result, the standalone Applicant Screening Questions form is now available on the APS website in the Recruitment Forms section. Submit this form with the PAR packet for hires not done via Interfolio or a posting waiver.

This form is required for all faculty hires, regardless of the hiring scenario.

FACULTY DEGREE VERIFICATION ONBOARDING STEP

New faculty hires will now receive an onboarding to do in Workday advising them to use the Maintain Worker Documents task to upload their official transcript for highest degree earned. Once this step is completed, APS will receive a notification to initiate the credentialing process.
