NEW FIELDS IN FACULTY PROFILE
We have added two new fields to the Biographical tab of Faculty Profile:
Contract Term: Displays the contract term for non-tenure track faculty primary and secondary jobs (for contract term definitions, see the PAR Handbook) in the Official Information section of the Rank and Tenure Information box.
Probationary Extensions & Personal Circumstances Flags: Displays the Fiscal Year for which a Probationary Extension (tenure-track) or Personal Circumstances Flag (non-tenure track and tenured) applies.
Note: The data shows within a new box beneath the Rank and Tenure Information section and only appears if the faculy member being viewed has either a probationary extension or personal cirumstances flag on record.
***Current Faculty Profile security requirements have not changed. Users must have the appropriate security delegation to view data (including the new fields) for those faculty within their department or college.***
RETIREES BETWEEN PERIODS OF MODIFIED SERVICE
As a reminder, when faculty retirees are not on modified service, they should be terminated (using a reason of “End of Assignment”) instead of being moved into the Faculty Inactive (F-INA) job profile. If a retired faculty member returns to modified service after termination, they should be re-hired per APS guidance.
Note: Phased Retirees will always be in an active job profile until the end of their phased retirement contract, at which time they should also be terminated (using a reason of “End of Assignment”).
Faculty retirees in both the phased retirement and modified service categories must have active, unexpired contracts in Workday. For additional details, see the APS guidance linked above.
VISITING FACULTY AGREEMENT
When a fully executed contract is required for visiting faculty, please use the Visiting Faculty Agreements templates found on the Business Contracts Office website. Consult with APS and the Business Contracts Office, as needed.
UPDATES TO OFFER LETTER TEMPLATES
We recently made minor updates to the faculty offer letter templates found on the APS website. Please ensure you are using the newest version of the templates moving forward.
